Who runs what

Six checklists, four owners, one file

The checklists hand off to each other. Intake feeds the packet review, the packet review feeds the renewal cadence, and all three feed the tender package if a claim ever arrives.

Why it matters

A checklist is only as fast as the person reading page 7

Manual review works, it just does not scale. At 25 to 40 min per packet, a team with a few hundred active vendors spends weeks a year on first reviews alone, before chasing a single broker.

Ingest & Parse reads the ACORD 25 fields, matches limits to the subcontract exhibit and checks AM Best ratings by NAIC number, flagging gaps in about 15 seconds per certificate.

Endorsement packet review

The Endorsement Validator reads every page of the packet, records each form number and edition date, and compares the wording against your exhibit, so a missing CG 20 37 on page 4 is flagged before approval.

Endorsement Validator
Vendor entry for property managers

Pikorua Security syncs vendor status to Yardi, AppFolio or MRI work orders and to access control, so an expired policy suspends the badge and the work order without a manual step.

Tenant lease insurance

Pikorua Security reads lease insurance articles into tenant rules, verifies ACORD 25 and ACORD 28 evidence against them, and writes compliance status back to the tenant record.

Risk Transfer Engine
Renewal and expiry

Automated Broker Chasing runs the 60/30/15/0 day cadence to the vendor and its producer through zero-login upload links, and applies payment and access holds at expiry.

Questions

Using the checklists

What do I get when I enter my email?
Every item in all six checklists opens on this page (75 checks in total), and a copy of the full set arrives by email. You can tick items as you work, copy any checklist as plain text, and paste it into your own review file or project binder.
Do these checklists replace my contract's insurance exhibit?
No. The checklists tell you what to look for; your exhibit decides what counts as compliant. Where an item quotes typical limits, such as $1,000,000 each occurrence and $2,000,000 general aggregate, replace them with the amounts your contract or lease actually requires.
Which checklist should a property manager start with?
Start with the vendor entry checklist for janitorial, HVAC, security and maintenance vendors, then the tenant lease insurance checklist for occupants. Run the renewal and expiry checklist weekly for both groups.
Is following a checklist enough to win a tender?
A checklist makes sure the right documents exist and were reviewed. Whether a carrier accepts a tender depends on the policy wording, the facts of the loss and the law that applies. Have counsel review any reservation of rights or denial. Pikorua Security is software and does not provide legal advice.
