RealPage COI compliance integration

Hold RealPage payables for vendors whose insurance fails, community by community. Pikorua Security verifies each vendor's certificate and endorsements against the requirements of every community it serves, then exchanges vendor and payables files with RealPage Accounting on a schedule, so non-compliant vendors are held before the payment batch.

Trigger events

When the certificate changes, RealPage changes with it.

Each trigger is a rule you can switch on, off or to notify-only per project, property or vendor tier.
How payment and access gates work
  1. Hold

    Vendor's general liability expires

Then: The vendor appears on the hold file with every open payable across its communities, and the regional manager is notified.

  2. Hold

Auto liability below a community's requirement

Then: Held only for the communities that require the higher limit. Every other community keeps paying the vendor.

  3. Warn

    Coverage expiring in 30 days

Then: Broker request at day 30. No hold.

  4. Release

    Renewal verified

Then: Release record in the next file; payables are eligible for the following batch.

  1. 1

    Schedule the exports

Your RealPage administrator schedules vendor, community and open payables exports to a Pikorua Security SFTP folder.

  2. 2

    Map communities to requirements

Assign each community, or each owner's portfolio, a requirement template with its limits and named insureds.

  3. 3

    Match vendors

Pikorua Security matches vendor IDs to certificates and lists vendors with nothing on file.

  4. 4

    Agree the update file

Confirm the file layout and who applies it before each payment batch.

  5. 5

    Run the first cycle

Review the first hold file against your current batch before switching on the schedule.

Credentialing and verification are different jobs

RealPage, based in Richardson, Texas, offers vendor credentialing through RealPage Vendor Credentialing, formerly Compliance Depot, which collects certificates, checks required limits and sends expiration reminders and non-compliance notices. Many operators use it. What it does not do for you is read every endorsement page against a specific owner's requirement and hold the payable in accounting when something fails.

Pikorua Security does both, whether or not you also use Vendor Credentialing. The verdict reaches RealPage Accounting as a file your AP team applies before the payment batch, with the reason for every hold written in plain words.

Community-level requirements

Owners rarely ask for the same thing. A conventional garden community may accept $1,000,000 each occurrence; a mid-rise with a pool and a parking deck may require an umbrella and higher auto limits. Pikorua Security holds a vendor only where it fails, so a landscaper who meets the garden community's requirement stays payable there while held at the mid-rise.

Regional managers receive one weekly summary per region: vendors on hold, dollars held, and which brokers have not answered.

FAQ

RealPage connector questions.

Pikorua Security is compliance software. It verifies certificates and endorsements against your contract requirements; it does not sell insurance or give legal advice.

Do we need RealPage Exchange access?
No. The connector runs on scheduled exports and update files that your RealPage administrator controls. Nothing is installed in RealPage.
We use RealPage Vendor Credentialing. Can we keep it?
Yes. Vendor Credentialing keeps sending its reminders, and Pikorua Security adds endorsement-level verification against each owner's requirement plus the payment hold.
How often do the files run?
Daily by default, with an extra run you can trigger before each payment batch.
