Construction Management integration
Prophix COI compliance integration
Bring compliance-driven payment holds into your cash forecast in Prophix One. Prophix is a financial performance platform for budgeting, planning, forecasting, consolidation and reporting, not a construction ERP, so Pikorua Security does not hold payments there. It sends Prophix the dollars held by insurance deficiencies, the expected release periods and exposure by job, so finance plans around them.

What Pikorua Security reads from and writes to Prophix.
| Field | Direction | What happens |
|---|---|---|
| Held payables by vendor and job | Pikorua Security to Prophix | Dollars currently on compliance hold, with the system holding them (CMiC, Viewpoint Vista, Procore Pay, Yardi Voyager) and the rule that caused it. |
| Expected release period | Pikorua Security to Prophix | Estimated from where the broker sits in the 60/30/15/0 day cadence, so the cash forecast moves held amounts into the right week. |
| Vendor compliance counts | Pikorua Security to Prophix | Compliant, deficient, expiring in 30 days and expired, by entity and business unit, for the monthly operations pack. |
| Expiring coverage by month | Pikorua Security to Prophix | Policies expiring in each of the next 12 months on active subcontracts, to plan for renewal-driven holds before they happen. |
| Completed operations exposure | Pikorua Security to Prophix | Contract value on jobs where a subcontractor's CG 20 37 completed operations coverage is unverified, as a reporting line. |
| Dimension mapping (entity, job, cost center) | Prophix to Pikorua Security | Your Prophix administrator exports dimension members once; Pikorua Security keeps the mapping and flags new jobs that lack one. |
Trigger events
When the certificate changes, Prophix changes with it.
- Hold
Payment hold placed in a connected ERP or Procore Pay
Then: The held amount is added to the next Prophix file under the vendor, job and expected release period.
- Release
Renewal verified and hold released
Then: The amount moves from the held line back into payables for the release week, so the 13-week cash forecast catches the payment.
- Warn
Policy expiring in 30 days on a large subcontract
Then: The open contract balance is flagged as at risk of a hold next period, ahead of the forecast review.
- Hold
Month-end close
Then: A snapshot of compliance exposure by entity loads to Prophix for the board, lender or surety reporting pack.
Setup
Live in 2 to 3 hours.
5 steps, done by your Prophix administrator and a Pikorua Security Admin together. Nothing to install on your servers beyond the file drop you already control.
- 1
Choose the load path
Your Prophix administrator chooses between a scheduled SFTP flat file and the Prophix One API. Most teams start with SFTP because it runs through the same data integration process as their ERP loads.
- 2
Map dimensions
Export entity, job and cost center members from Prophix; Pikorua Security maps them to its entities and projects once.
- 3
Add the hold lines
Create statistical or memo accounts for held payables and expected releases in the models that need them.
- 4
Schedule the files
Set the delivery cadence, usually daily at 5:00 AM before the Prophix load, plus a month-end snapshot.
- 5
Validate one period
Compare a week of held amounts in Prophix with Pikorua Security's hold report and sign off.
What Prophix is, and what this connector does
Prophix One, from Prophix Software in the Toronto area, is a financial performance platform: budgeting, planning, forecasting, consolidation, reconciliation and reporting, now with an AI layer Prophix calls Prophix One Intelligence. Construction finance teams often run it on top of an ERP such as Viewpoint Vista, CMiC or Sage 300 CRE. It does not store vendor certificates or approve payments, and Pikorua Security does not pretend it does.
What a forecast usually lacks is visibility into money that will not move because of insurance. When Pikorua Security holds a $184,220 invoice for an expired general liability policy, that cash stays in your account this week and leaves it later. Treasury and FP&A should see it, by job, with a realistic release date.
Why compliance holds belong in the forecast
Compliance holds are lumpy and predictable at the same time. A roofing subcontractor's renewal lands on one date, its broker answers within days once chased, and the held amount releases soon after. Pikorua Security knows where each deficiency sits in the 60/30/15/0 day cadence, so the release period in Prophix is grounded in the actual chase, not a guess.
The same data answers a risk question that lenders and sureties sometimes ask a contractor: how much contract value is exposed to subcontractors without verified completed operations coverage. That figure loads to Prophix as a reporting line, never as a journal entry.
